Questions Operators Ask
Who Is TankVault For?
Septic companies in Virginia and North Carolina that service alternative (AOSS) and conventional systems. It’s built first for owner-operators and small crews of 1–3 people, and it grows with you.
Can I use TankVault now?
Early access is invite-only while we finish TankVault. Tell us about your company and we’ll reach out if there’s a fit. You can also book a demo anytime.
Is TankVault available in my state?
TankVault works in Virginia and North Carolina today, built around each state’s own septic regulations. Outside VA or NC? Request early access and tell us your state, and we’ll let you know if TankVault comes to you.
Does it work for conventional systems?
Yes. TankVault is for both alternative (AOSS) and conventional septic systems. For a conventional system (tank and drainfield) it keeps the pump-out records and pump-out due dates, and sends reminders where the county requires a pump-out (Loudoun, Fairfax and Prince William counties require a pump-out every 5 years). Alternative systems also get operator inspection, lab sampling and state report due dates. In Virginia, conventional systems don’t need a yearly operator visit or lab sample, so there’s nothing extra to track.
How do I get my customers in?
Importing your customers is easy. Upload a spreadsheet or an export from the software you use now, or add customers manually. No software today? No problem. In some counties, TankVault automatically matches your systems to county health department records and brings those records in. Today that’s Fairfax County, Virginia. Any spreadsheet works (Excel or CSV, one customer per row), including an export from OnlineRME or another program. You match the columns, check the list, then tap Import. The one-time setup includes help getting your customers in.
Does TankVault do invoicing?
No. TankVault is compliance and tracking software: what’s due, inspections, lab results, state reports and reminders. No other software required. TankVault is a standalone solution: it works with paper invoicing, or runs alongside the invoicing software you already use. Keep billing customers the way you do today.
Does TankVault send my reports to the health department?
Submit once. Where the county accepts reports electronically, TankVault sends your inspection and pump-out reports for you by email, and your customer gets a copy. Where it doesn’t yet, like VDH’s MyHD, you get a clean, ready-to-file copy to enter on the agency’s website, then tap Mark Filed. Less paperwork, less time, less money. Today TankVault emails pump-out reports to the Prince William Health District and the Fairfax County Health Department, and inspection reports to North Carolina county health departments, at the address you enter once in Settings. Prince William pump-out manifests are filled in for you.
Who owns our data? Can I get it out?
You do. Export your reports, photos and records anytime, as PDFs, photos and spreadsheets, to bring into your other software.
Does it work without cell signal?
Yes. An inspection can be filled in and finished on site without signal; it saves on your phone and sends when you have signal again.
Is there a contract? Can I cancel?
No contract. Plans are month to month, office staff are always free, and you can cancel anytime in Settings → Billing.
Is our information secure?
Your company’s records are visible only to your team, and each homeowner sees only their own home. Everything travels over an encrypted connection. Card payments are handled by Stripe, so TankVault never sees or stores your full card number.
Do my techs need training?
If they can use a phone, they can use TankVault. The inspection follows the same order as the VDH form they already know.
We already use OnlineRME. Does this replace it?
TankVault keeps your day-to-day work in one place, and you can bring your customer list over from an OnlineRME export so you’re not typing everything twice. TankVault doesn’t send anything back to OnlineRME; you keep submitting there as you do today.
